Summary of role

The Business Support Manager will be responsible for supporting all DOCA events by ensuring that our office and systems are ship shape and that our events are communicated in the best way possible. They will be responsible for our social media and websites and will work as part of a small team to place our events at the heart of the local community.

Overview

Devizes Outdoor Celebratory Arts (DOCA) is an exciting arts charity formed in 2012. Our mission is to bring people together to have shared magical experiences, by providing arts events which transform places, hearts, and minds.

The Business Support Manager will be a confident team player with a flexible approach. They will be a social media and web Ninja and will relish the opportunity to work with a range of artists, community groups and schools, to encourage participation in DOCA’s events.

Our ideal person will be a good communicator at all levels. They will have a good working knowledge of Microsoft Office packages and an organised approach to record keeping and information sharing.

This role would be partly home working and also based in Parnella House, Devizes especially during events.

Events

  • A two-day Street Festival with International and National Street Performers, a large street food market and makers’ market.
  • The Magic Garden: an afternoon of music, food, performance and creative workshops.
  • Carnival with artist-led costume and dance workshops.
  • Confetti Battle and Colour Rush
  • Winter Ales Festival - a fundraiser with bands and cabaret
  • Winter Festival and Lantern Parade beginning with participatory lantern making workshops leading up to a spectacular parade with lighting installations and a two-day indoor and outdoor market.
  • Occasional indoor performances and events.

Team

The team consists of a board of trustees and volunteers working with the Creative Producer, Production Director, Production Support Manager and Business Support Manager (this post).

Requirements

  • Good working knowledge of Google Workspace, Microsoft Office, WordPress, Mailchimp, Google Forms, Meta Business or other social media scheduling software. It would also be useful to have an understanding of Adobe Creative Suite, Ticketsource, and Google Ads. 
  • An understanding of brand management and continuity and a good understanding of customer and client's needs.
  • A systems minded, details driven, methodical and thorough approach to work and problem solving.
  • An organised approach to record keeping and information sharing.
  • Resource management skills.
  • Ability to work with a range of community groups, volunteers, artists, schools and public, and to encourage participation in DOCA’s events.
  • Good analytical and communication skills, with an understanding of evaluating and reporting methodologies.
  • Flexibility: you’ll need to be available for our events to give admin support and work flexibly to fit around the demands of the role and with the rest of the team. Additional days will be available when appropriate.
  • Previous experience or an enthusiasm for arts based work would be beneficial, as would own transport and the ability to move around the local area quickly at short notice.

Responsibilities

  • Marketing and Communications Wizard: Promote and elevate our brand. Ensure continuity through all our communications. Be our social media and web Ninja, overseeing all our online output, using WordPress to update our website, and ensuring all our communications are on point. Support marketing and communications activity through the development and distribution of our print. Create inspiring newsletters and fantastic coherent visuals across all our media platforms. Monitor our online effectiveness and make recommendations to improve it.
  • Keep our office and systems ship shape: Act as first point of contact for enquiries. Provide general administrative support and assistance to the organisation. Update documents/files/ correspondence with the support of the team. Keep an eye on our production schedules and event paperwork – keep us on track. Be responsible for booking rooms at Parnella House and support trustees with its running. Help us understand our audiences by collating data collected through evaluation taken at our events, and create online polls and forms to facilitate data gathering. Ensure our data is protected appropriately.
  • Keep our finances on track: Work with our Treasurer to understand and control budgets for each event, maintain expenses spreadsheets and be ready to answer any questions about spend. Use ticketing software such as TicketSource to set up and manage an online box office for our ticketed events.
  • Sponsorship and Advertising: Lead on gathering sponsorship and advertising interest to maximise income for DOCA and respond to the needs of sponsors and advertisers before, during and after our events.
  • Roll up your sleeves: Get involved in our events, be hands on and up for anything. Maybe support a community workshop or prepare materials for collection, rummage in our store on our muddy allotment site and ensure all our stock is in order.
  • Be part of the family: Welcome our volunteers, be kind, enthusiastic and flexible, get involved, come with ideas, inspire us and help us grow.
  • Be proud: Act as an ambassador for the organization when representing DOCA at all times.
  • And of course: Carry out any other duties as required from time to time.
  • Job Title:          Business Support Manager
  • Hours:               30 hours per week
  • Salary:              £23,400 (equivalent to a full-time salary of £29,250 for 37.5 hrs weekly). You will also be expected to work a further 3 days around each event for which overtime will be paid at standard rate.  DOCA will also pay pension contribution equivalent to 3% of gross salary to the People’s Pension.
  • Contract:           Will be reviewed annually subject to funding
  • Holidays:           22.4 days each holiday year (equivalent to 28 days pro rata’d) plus 8 days Bank Holiday. The holiday year commences on 1st May and finishes on 30th April.
